PARA vs. Kanban: Organizing Knowledge vs. Moving Work

PARA files your information. Kanban moves your work. Confusing the two is why so many systems feel busy but stalled.

What PARA is for

PARA — Projects, Areas, Resources, Archives — is Tiago Forte's system for organizing information so you can find it later. It's a filing philosophy: a home for every note, doc, and reference. It answers 'where does this belong?'

What Kanban is for

Kanban answers a different question: 'what's the status of this work?' It tracks movement — from idea to in-progress to done. PARA organizes what you know; Kanban organizes what you're doing. They're complements, not competitors.

The common mistake

People try to run their action tracking inside their PARA folders and wonder why nothing moves. Folders are for storage, not motion. Actions need a board where status is visible and change is the norm — otherwise your commitments sit in a resource pile, indistinguishable from reference material.

Use both, cleanly separated

Keep PARA for knowledge and put your live actions on a board like Axtio, where the four courts make status obvious. Storage and motion are different jobs; give each the right tool and both improve.
