Microsoft Planner's 2026 changes: what task chats mean for small teams

Microsoft has been reshaping Planner through 2026. As reported by Neowin and in Microsoft's own update notices, the changes include task chats with rich text and mentions in basic plans, custom templates, a project manager agent for Microsoft 365 Copilot users, and Planner tasks surfacing inside the new Outlook. Some features are going away, including Planner components embedded in Loop pages and the old task comments experience in basic plans.

Here is what that means for small teams.

Conversations move into tasks

Task chats put discussion right next to the work, which is an improvement over scattering it across email and Teams. A question about a task can live on the task.

The risk is familiar: a long chat under a task can hide the one thing that matters, which is who needs to act next. A thread where three people discuss a delivery date does not, by itself, say whose move it is.

Agents summarise, people decide

The project manager agent can draft plans and status updates. That saves time, and it also raises the question we covered in AI-generated status reports: fluent summaries often miss what is stuck and on whom.

Retired features mean migration work

If your team embedded Planner components in Loop pages, those now become links to the plan. If you relied on the old comments, check where that history lives now. Small teams rarely have someone tracking these changes, so it is worth a quick check.

What it does not change

Planner is still organised one plan at a time. If you run many small projects, you still switch between plans to see where each one is stuck. That is the gap a 2D board fills: every project as a row on one screen, with columns for who has the ball.

Should you switch?

If your team lives in Microsoft 365 and Planner fits, the 2026 changes are mostly improvements.
